Social Sciences Internship (SSI) is a structured programme developed and supervised by the Faculty of Arts and Social Sciences in collaboration with Partner Organisations, to provide various off-campus learning opportunities for all Arts and Social Sciences undergraduate students.

Learning Outcomes

By the end of the internship course, students should be able to:

No Employment Relationship

Given the training and educational nature of the internship, there is no employer-employee relationship between the Partner Organisation and the Student Intern. The Statutory Minimum Wage (SMW) and Mandatory Provident Fund (MPF) do not apply to the students with no employment relationship with the host organisation or company.

Remuneration

Remuneration depends on each placement opportunity. Information regarding allowance/ remuneration would be given in each placement details at the application stage.

Supervision

Each student intern would be assigned with a Faculty supervisor (an academic staff assigned by the student’s Department) and an On-site Supervisor (assigned by the Partner Organisation).

  • Final year students can only take part in the internship during Semester 1 or 2 in the final year but not the summer after graduation.

Eligibility

We are sorry that Social Sciences Internship is open to students of UGC undergraduate programmes exclusively.

We are sorry that exchange students are not eligible for the Social Sciences Internship, which is only open to students who will complete their undergraduate programmes at the Hong Kong Baptist University.

Since Social Sciences Internship is a structured programme consists of pre-internship training workshops, interviews and on-the-job working experience, students are required to attend all elements of the programme in person. Therefore, students who are on exchange programme are not eligible for application.

About the Internship

Students can only change the start and end date of internship with strong reasons and it should be discussed and approved by both the Partner Organisation and the Faculty Office in advance. Student interns should ensure they can commit the entire internship period as stipulated on the Internship Agreement signed.

Social Sciences Internship is training and educational based. Student Interns are not necessarily remunerated during their internship, but some organisations may provide allowance. Students may view the relevant information from each job posting during placement application.

All full-time undergraduate students of the University are covered by the University’s Group Personal Accident Insurance during the internship period. Some organisations might offer insurance coverage to the students by their own policy.

The softcopy of internship grade report including appraisal would be available for participants to download after the completion of internship. The internship record will be listed in academic transcript. If students would like to have a reference letter, they should consult the partner organisation directly before the end of the internship.

Students with internship offer will be enrolled in one of the following courses and earn 3 units after the completion of internship with a minimum of 200 work hours and respective coursework.

Application and Course Registration

Unless prescribed in an approved study plan, students who carry a study load over 15 units are NOT recommended to undertake the internship in that semester. If you have already registered for more than 15 units (excluding the 3-unit of SSI) in the semester, please obtain approval from the Head of Department or Programme Director and submit the required application accordingly before the end of the Course Add/Drop period of that semester or the specified submission deadline:

Applicants who completed the mandatory orientation quiz and fulfilled the training requirements will be eligible to view the list of available internship opportunities on the SSI Online System during placement application period. 

There is no application fee required for applying SSI.

The Office of Off-Campus Learning and the Academic Registry will coordinate the course registration process, you DO NOT have to register for the course during the course pre-registration or add/drop period.

Withdrawal / Termination

The Faculty of Arts and Social Sciences strongly values the commitment made between students and organisations, you should have made careful consideration before you submit an application. Our withdrawal policies have been set to encourage students to be accountable for their actions. Students cannot withdraw from an internship without permission from the Faculty.

Withdrawal after Placement Application

All withdrawals after the deadline of placement application will be regarded as late withdrawal cases, students are required to submit the Application for Internship Withdrawal supporting with valid reasons to the Office of Off-Campus Learning, Faculty of Arts and Social Sciences.

 

Withdrawal after the start of internship

Students are required to submit the forms of

1. Application for Internship Withdrawal supporting with valid reasons to the Office of Off-Campus Learning, Faculty of Arts and Social Sciences; and

2. Application for Course Withdrawal (via the Online Form system in BUniPort) with approval of Faculty Supervisor (Course Instructor).

A notice period of 7 calendar days is required for any withdrawal application after the internship commencement; i.e. Students are obliged to continue the internship at the organisation for at least 7 calendar days while the application is under Faculty’s review.

A Student Intern may be placed on probation or terminated by the Partner Organisation for the following reasons:

  • Excessive tardiness or absences.
  • Unsatisfactory performance or conduct as evaluated by the On-site Supervisor.
  • Acts of discrimination, disruptive or other inappropriate behaviour.

Withdrawal after the placement application will result in serious consequences. All late withdrawal cases will be reported to the student’s major department for record.

For the withdrawal cases approved by the Faculty, a “W” (Withdrawn) grade will be assigned, which is not included in GPA calculation. However, any withdrawal without approval from the Faculty will result in an “F” (Fail) grade in the academic transcript, which is included in GPA calculation.

A Student Intern may be placed on probation or terminated by the Partner Organisation for the following reasons:

  • Excessive tardiness or absences.
  • Unsatisfactory performance or conduct as evaluated by the On-site Supervisor.
  • Acts of discrimination, disruptive or other inappropriate behaviour.

For any amendment or adjustment on the internship period, please consult the Office of Off-Campus Learning in advance. Normally, students should provide ALL of the following supporting documents with valid reason(s) to the Office of Off-Campus Learning via email for further endorsement:

  1. An official approval of the internship period amendment by the On-site Supervisor / Partner Organisation
  2. Email to inform the Faculty Supervisor for the change
  3. A proof of students’ fulfilment of the minimum requirement of working hours, i.e. the endorsed Monthly Attendance Log Records and the agreed work plan for extended internship period (if applicable)

Upon ALL the above-mentioned documents are obtained, the Faculty will review the application and announce the result via email within 7 calendar days. Without the Faculty's official approval, Student Interns are required to work through to the last day of the internship.

Any self-termination or absence without valid reason(s) might regarded as "Incomplete" of the internship.

Given the training and educational nature of the internship, there is no employment relationship between the Partner Organisation and the Student Intern. Student Interns will be enrolled in a 3-unit Free Elective course (in Pass/Fail grade).

The Statutory Minimum Wage (SMW) and Mandatory Provident Fund (MPF) do not apply to the students with no employment relationship with the host organisation or company. If an employment relationship has been established by the organisation, a student internship will be exempted from the SMW. However, the organisation is required to contribute to the student intern’s MPF if a consecutive employment period of not less than 60 calendar days is established.

Remuneration

We are grateful if partner organisations could provide meal and transportation allowance for Student Interns as financial support if the internship is not paid. Any information regarding allowance should be given at the time of Job Posting.

Supervision

An On-site Supervisor should be assigned by partner organisation to:

  • Brief and supervise the student intern during the internship.
  • Endorse the student intern’s Monthly Attendance Log Records and leave application, and 
  • Assess the student intern’s performance and complete the Internship Appraisal Report at the end of the internship.
Internship Agreement

Internship Agreement will be signed between the University and the Organisation before the start of the internship. Letter for confirmation of "student intern" status under Minimum Wage Ordinance (Cap. 608) (MWO) will be provided to the Partner Organisation upon request. 

Any special arrangement should be communicated with the University in advance, and it must be mutually communicated and agreed among the University, the Organisation and the Student Intern.

Partner FAQs

Student Interns have to work for one semester (Summer, Semester 1 or Semester 2) for at least 5 consecutive weeks and obtain a minimum of 200 work hours at the Partner Organisation in accordance with a work schedule agreed by the Partner Organisation and the University.

  • June to August (Summer): full-time basis (5 full days/ 40 hours per week)
  • Late-August to November (Semester 1): part-time basis (2 full days/ 16 hours per week)
  • January to April (Semester 2): part-time basis (2 full days/ 16 hours per week)

The Partner Organisations are expected to designate a staff member to act as a supervisor of the Student Intern throughout the internship. The On-site Supervisor will be responsible for the following tasks:

  • Brief the Student Intern about the organisation, policies and working procedures.
  • Supervise the Student Intern during the internship.
  • Endorse the Student Intern’s Monthly Attendance Log Record and leave application.
  • Assess the student intern’s performance and complete the Internship Appraisal Report at the end of the internship.

SMW does not apply to the internship arranged by Social Sciences Internship as it is educational and training based, there is no employer-employee relationship between the Partner Organisation and Student Intern, which will be stipulated in the Internship Agreement to be signed between the University and the Partner Organisation. 

Letter for confirmation of "student intern" status under Minimum Wage Ordinance (Cap. 608) (MWO) will be provided to the Partner Organisation upon request.

Social Sciences Internship is educational and training based, there is no employer-employee relationship between the Partner Organisation and Student Intern, which will be stipulated in the Internship Agreement to be signed between the University and the Partner Organisation.

Remuneration or provision of meal and transportation allowance for Student Interns will be most welcome. This would help provide financial support and encouragement to them. However, these are not mandatory and depends on Partner Organisation's decision. Any information regarding allowances should be provided in the job posting details for students' reference.

Internship Agreement, stating the internship period and details, will be signed between the University and the Partner Organisation.The Agreement Draft will be provided for Partner Organisation's verification after the internship details is confirmed.

The On-site Supervisor will communicate with the Office of Off-Campus Learning and meet with the Student Intern to discuss any abuse or violation, and following the meeting, a notice of probation or termination will be sent to the Office of Off-Campus Learning for further coordination.

In the case of probation, the notice will include deficiencies, a plan for improvement(s), and a timeline by which the improvement(s) must be made.

  • The Student Intern may be removed from probationary status if the deficiencies outlined in the plan are corrected within the designated timeline.
  • If the plan for improvement(s) does not lead to a result of satisfactory performance, the Student Internship may be terminated.

Final decisions regarding disciplinary action or termination are made by the Faculty of Arts and Social Sciences.
